Stage 4: Monitoring and Controlling

Monitoring and controlling runs in parallel with execution. The team tracks performance against the plan using metrics such as schedule variance, cost performance, and quality benchmarks. If deviations occur, corrective actions are taken. This stage answers three core questions: Are we on schedule? Are we within budget? Does the deliverable meet the requirements? Change requests are evaluated and either approved or rejected here, keeping scope creep in check and preserving the integrity of the original objectives.

Stage 5: Closure

Closure formally ends the project. Deliverables are handed over, contracts are settled, and remaining documentation — such as lessons learned and final reports — is completed. Stakeholders confirm acceptance, and the team is released or reassigned. A structured closure phase captures institutional knowledge, documents what went well and what did not, and provides a clear record that can inform future projects. Skipping closure often leaves loose ends and missed opportunities for improvement.

How the Stages Work Together

The five stages are not isolated silos; they overlap and interact throughout a project's lifecycle. A change discovered during execution may trigger a return to planning, and monitoring data can prompt a revision of the schedule. The framework is adaptable: a small internal project may move through all five stages in days, while a large infrastructure initiative may spend months in planning alone. The value lies in applying deliberate discipline at each stage rather than treating project management as a single monolithic event.

Choosing the Right Approach

While the five stages provide a universal backbone, the methodology used within them can vary. Predictive approaches follow a linear sequence, while agile and iterative models cycle through the stages repeatedly in shorter sprints. Hybrid approaches blend both. The choice depends on factors such as project complexity, stakeholder expectations, and the level of uncertainty involved. Regardless of the method, the five stages give teams a shared language and a reliable structure for delivering results.
