Edit Employee Payroll Information
To update an employee's pay rate, tax withholding, or compensation, go to the Payroll tab and select Employees. Choose the employee name, then click Edit. Update the relevant fields such as hourly rate, salary, or deductions and save.
Correct a Posted Paycheck
If a paycheck has already been processed, you can void it and recreate it, or create a separate adjustment paycheck. Navigate to Payroll, go to the Payroll tab, find the paycheck, and select Void or Edit. For adjustments, use the Add Adjustment option to correct net pay without voiding the original transaction.
Change Payroll Tax Rates and Items
To update a tax rate or payroll item, go to Settings, then Payroll Settings. Under Taxes or Payroll Items, select the item and edit the rate or percentage. QuickBooks Online will apply the change to future paychecks automatically.
Retroactive Payroll Changes
For changes that need to apply to prior pay periods, use the Retroactive Pay feature. In the Payroll tab, select the employee, enter the effective date and the corrected pay amount, and QuickBooks will calculate the difference and generate an adjustment paycheck.
Preview and Verify Changes
Before finalizing, use the Preview Paycheck option to confirm that all edits reflect correctly. Review the net pay, deductions, and tax amounts to ensure accuracy before running payroll for the pay period.
