How to Send a Google Hangouts Calendar Invite

You can add a Google Hangouts video or audio call link to any Google Calendar event and send the invite in the same way you would any standard meeting invitation. When guests accept the event, the Hangouts link appears on their calendar and in their email, letting them join the call with one click.

Creating the Event with Hangouts

  • Open Google Calendar and click the date or time slot for your meeting.
  • In the event creation window, click Add location or conference and select Hangouts Meet.
  • Google will generate a unique Hangouts link and place it in the event details.
  • Fill in the title, time, and any other details, then click Save.
  • Adding Guests and Sending the Invite

After the event is saved, add the email addresses of everyone you want to invite. You can also edit the event to add or remove guests later. When you send the invite, Google Calendar emails each guest with the Hangouts link included in the event description and in the calendar attachment.

    Editing or Resending the Invite

If you need to change the Hangouts link or update the meeting time, open the event, make your changes, and click Save. Guests who already accepted will receive an update notification with the revised details, including the refreshed link.

    Troubleshooting Common Issues

    • If the Hangouts link is missing, make sure the event is set to use Hangouts Meet and that the guest list is saved before sending.
    • Guests using older calendar clients may need to open the event description to find the link.
    • For audio-only calls, the same Hangouts link works; guests can join by phone if they prefer.

    Best Practices for Hangouts Invites

Include a clear agenda in the event description so guests know what to expect before they click the link. Test the Hangouts link yourself before the meeting to confirm it opens correctly, and remind guests that they do not need a Google account to join a Hangouts Meet call from the link.
